If you've ever tried to share a Notion table with a client, manager, or teammate who doesn't use Notion, you've probably faced this issue everytime: Notion is fantastic tool when it comes to managing data, but it's not built to handle that data into a clean, well structured document file.

And Notion's own export button often produces PDFs that don't look like what's actually on your screen.

Here's what happens with possible solutions:

  • Screenshots look messy and too bad to even look at.
  • Copying and pasting into Word breaks the formatting of the content.

    • The good news is today I am going to share with you an automation solution that can turn your Notion table view data into a proper PDF.

    This is straightforward to setup and use once you know where the confusion really happens.

    This guide will walk us through the exact steps we need to follow and also suggest us the exact formatting fixes to apply that we generally don't consider while generating PDFs for first time.

    Who Is This Automation Guide For

    This automation is written for anyone who is looking to set this up for the first time.

    This can be anyone of the following:

  • A freelancer who is looking to send a client a project tracker document or
  • A small business owner who is looking to send inventory list reports or
  • Teams looking to turn notion database into printable pdfs.

    • This requires no technical knowledge or any coding skills to set this up. Once this is setup for one time it can work forever to generate PDFs lifetime.

    Why Notion Tables Don't Convert to Clean PDFs

    Before looking at the steps, it will help us to understand why this creates a problem for the people.

    A Notion table view is designed to be interactive by default — which means you can scroll both ways, collapse the columns of the table, filter the rows, and even resize things on the go.

    A PDF, on the other hand, is a fixed, printable snapshot generated.

    When you convert a Notion Table to a PDF, Notion has to decide upon many factors:

  • How the columns must fit on the page (and which eventually gets cut off)?
  • Is there any requirement to shrink the text to fit the view or wrap the text to any extent?
  • How are the filters and sorting applied?
  • Do images inside the cells scale properly and applied correctly?

    Method 1: Notion's Built-In Export (Free, Native)

    This is the fastest option available and works fine while using simple tables.

    Let's understand how this would work…

    Step 1: Open the Table View You Want to Export

    Make sure you're looking at the exact view you want. Its important to apply any filters necessary or required sorting, so that the exported file reflects whatever is currently visible on the screen.

    You will get the option to include subpages (available in the Business plan) and also the option to choose the exact page format for the PDF export.

    But if you are exporting simple table, you can ignore the sub-pages and export as such.

    Step 5: Export the PDF and Review the File Generated

    When Export is clicked it generates the file and downloads the file directly onto the device. Review the file to check for any issues before sending to anyone.

    As you can see the default export looks messy and completely out of order when it comes to alignment and putting the elements correctly.

    The most common problem that you would typically notice is that the columns are cut off from view when the PDF is exported and the alignment appears as messed up than before.

    But, we are going to look at the Method 2 where we will take help of PDFOutput to generate the PDFs with proper formatting intact.

    The built-in notion export might work fine for a one-off exported PDF which uses a simple table.

    But when you generate the same type of documents repeatedly — such as client invoices, weekly reports, or even onboarding packets — doing this manually every time makes the process repetitive process and leads to an old outdated workflow, which can be even messed up when someone would forget to add a filter or apply sorting.

Before we begin, please follow the setup guide to configure the PDFOutput automation.

The guide will walk you through all the steps necessary to connect your Notion database and prepare the PDFOutput automation for converting Notion pages to PDF.

Once the setup is complete:

  • Open the Notion database connected to the automation.
  • Create a new page (new database record).
  • Inside that page, add the Notion table that you want to convert to a PDF (see the example below).

    • After you've completed these steps, the automation will be ready to convert the Notion page—including the embedded Notion table—into a PDF.

    As you can see I have added a table inside a Notion Page titled "Azure Heights Penthouse" and the GeneratePDF status is set as "In Progress".

    When the GeneratePDF status is set to "Generate Page", the automation will generate a clean PDF of the entire Notion page, including any embedded Notion tables.

    Once the PDF has been created, it will be automatically saved to the PDFFiles column, the PDFFiles column is already added to your database during the PDFOutput automation setup.

    As you can see this final output looks much cleaner as compared to the default style of generating the PDFs in Notion.

    Also you can adjust a lot of settings such as Header, Footer, Page Numbers etc.

    Tips to Format Notion Pages for a Better PDF Output

    A few small adjustments to your setup can make a huge visual difference to the PDF generated:

  • Turn off properties not required: Most often, notion tables carry the properties that are not relevant beyond internal team members (example using any internal tags or status colors). These don't make sense when the document is exposed to outside readers. So, hide anything which the recipient must not see in the final document created.
  • Rename generic column headers created: Using generic column header titles such as "Prop 1" or "Untitled" usually happens more often than people expect — so check every column title before exporting the PDF.
  • Add a title and short description above the table: Inside the Notion page itself which is being exported, add a title and short description so that the PDF exported has some context to it.
  • Check number and date formatting: Notion's default date format may not always match the style expected in the output. Use a formula property and adjust the date format / number format as required and use that column to generate the output.
  • Preview before sending: Always utilize the preview option available in the PDFOutput automation and check through every page created in the document to make sure all the content exported matches your style and intent.

    But when the table has more columns and occupy larger width size than expected, the export goes wrong. It cuts-off columns and doesn't preserve the notion table export style as expected.
