    Here's 3 things that are necessary to be able to convert the HVAC form submissions to PDFs.

    1. Notion Form

    The first thing that a user needs is a Notion Form.

    Create a notion form using the "/" and type "Form" which will allow to create the notion form.

    A HVAC form can be created which will contain the following fields among other fields:

  • Work Order Number
  • Service Date
  • Technician Name
  • Job Title
  • Customer Full Name
  • Phone Number
  • Email Address
  • Service Address
  • Equipment Type
  • Brand
  • Model Number
  • Serial Number
  • Unit Location etc

    Once the users start filling up the form with their responses it will automatically be captured onto database which can be converted as PDFs.

    2. Template Source

    We will need a template here which will define the layout of the document that will be turned as PDFs.

    We can add document in one of the following formats:

  • Google Document
  • Word File
  • PDF File
  • Google Slide
  • For this demonstration we will be using a HVAC form template already uploaded onto the template gallery source.

    3. PDFOutput Account

    In order for the automation to work, you will finally require a PDFOutput account.

    This will connect the Notion form and the template Source added to create the PDFs on automation.

    Now let's talk about how we can create the automation for PDFOutput…


    How to generate HVAC form submissions as PDFs using Notion

    Before we start generating the HVAC forms as PDFs, we need to signin onto PDFOutput.

    Once signed in, we need to take care of the following 3 things:

  • Connecting the HVAC Forms Database
  • Connecting the Template File
  • Mapping properties of Notion Database onto the template file
  • Preview the Output and Setup Automation
  • In order to generate the HVAC form submissions as PDFs, we need to go through the following steps:

    1. Connecting the HVAC Forms Database

    This step involves adding the HVAC forms database which we had created earlier.

    Here's a step by step process how to connect the HVAC forms database:

  • Click on New Automation to setup an automation. (Eg: HVAC forms automation)
  • !New Automation setup in PDFOutput

  • Click on Connect Notion to connect with Notion Database to proceed further.
  • !Connect Notion button

  • Click on Select Pages button to proceed to selecting Notion Pages.
  • !Select Pages option

  • Search for HVAC_Forms_DB and click on Allow Access to get access to the HVAC forms database.
  • !Searching and allowing access to HVAC_Forms_DB

  • Once the access is successful, you can select the HVAC_Forms_DB from the available databases.
  • Additional Properties added onto the Notion Database

    Once the connection is setup successfully, it will add the following 3 properties onto the HVAC_Forms_DB database:

  • google_drive_file — This is where the pdfs stored onto the google drive will be saved as a link
  • GeneratePDF — This is where we can mark the records as "Ready to Generate" to generate the PDFs.
  • PDFFiles — This is where all the PDFs generated will be saved which can be viewed later.
Let's proceed with connecting the template Source.

2. Connecting the Template File

In this step, we are going to connect the Template File which contains the HVAC Form data that we had created earlier.

Here's the steps to follow through to connect the template file:

  • Search for HVAC Submission Form and you will be able to find the HVAC template which will be used. Select the template then click on Continue.

  • Now you will be able to see the HVAC Form loaded up as a Google Document for your use.

    3. Mapping Notion Properties onto Template Source File

    This step involves tagging the notion properties that were loaded up and mapping the same onto the Google Document that's loaded up in above step.

    Click on Copy on the properties of HVAC_Forms_DB shown on the right side and use Ctrl + V / Cmd + V to paste the properties onto the document on the left and map the same.

    Essentially in this step we simply create a placeholder in the form of \{\{property_text\}\} inside the document which will fetch the same property from the Notion Database and replace the placeholder.

    > Eg: Let's say your HVAC Forms database contains a property Customer Full Name, placing a placeholder in the form of \{\{Customer Full Name\}\} in the document will help fetch the customer full name from the notion database and replace the placeholder text \{\{Customer Full Name\}\} with the value obtained.

    4. Generating Output Preview and setting up automation

    Once all the properties are mapped, its time to create a preview output of the document to see the final output.

    Click on Preview Output to generate an output preview for a record, showcasing the final automated output for that record.

    > Note: Before generating Preview Output, make sure to select the field name under Additional Settings which will be referenced for naming the PDFs for the preview document.

    Eg: In this case, I have selected Work Order Number field which will the reference for naming the PDFs.

    How to start generating PDFs from Notion Database?

    Once the preview file is created, its time to generate PDFs inside the Notion Database.

    Here are 2 simple steps to start receiving PDFs inside the HVAC Forms database right away:

  • Click on Setup Automation to activate the automation.

  • In HVAC Forms database set records to Ready to Generate to generate PDFs.
  • > Important Note: Whenever you need to generate PDFs, simply set your database records as Ready to Generate and it will create PDF within minutes within your Forms Database.
